How One-Off Viewings Can Win More Property Instructions

A homeowner may not be ready to put their property on the market today, but that does not necessarily mean they are unwilling to sell.

There is an important difference between not wanting to launch a full marketing campaign and not wanting to consider an excellent offer. Many homeowners are happy to wait several months before selling, yet their plans can change quickly when the right buyer appears.

This creates an opportunity for estate agents to arrange one-off property viewings on homes that are not officially for sale.

The process is simple. When you reach the end of a market appraisal and realise the homeowner is not planning to instruct an estate agent immediately, ask whether they would consider a private viewing if you found someone specifically looking for a property like theirs.

You might say, “On the off chance I speak to a buyer looking for a home exactly like yours, would you be happy for me to run a one-off viewing past you?”

Most homeowners will agree because there is very little downside. They are not committing to a full property launch, preparing for weeks of viewings or allowing their home to be advertised publicly. They are simply agreeing to consider one suitable buyer if the opportunity arises.

That small agreement gives you permission to continue working on the opportunity after the market appraisal has finished.

The next step is to match the property with a genuine buyer. This should not be treated as an excuse to arrange a pointless viewing simply to restart the conversation. The buyer should have a realistic reason to be interested in the home, whether that is its location, size, style, price range or a particular feature they have been struggling to find elsewhere.

When the right buyer appears, contact the homeowner and remind them of your earlier conversation. Explain that you have found someone who may be an excellent fit for their property and ask when they would be available for a private viewing.

This creates excitement without requiring the seller to commit to a conventional marketing process. From their perspective, an estate agent has remembered their circumstances, listened to what was discussed and actively found someone who may want to buy their home.

That is a powerful demonstration of service.

The ideal result is that the buyer views the property, loves it and makes an acceptable offer. A sale has then been created from a home that was not technically on the market.

The opportunity can become even more valuable when the potential buyer also owns a property they need to sell. In that situation, one private viewing could create two instructions: the off-market property being purchased and the buyer’s existing home coming onto the market.

Even when the viewing does not result in a sale, the process can still move both relationships forward.

The buyer sees that you are willing to look beyond the major property portals and actively uncover homes that are not publicly available. This can make you far more memorable than an estate agent who simply adds applicants to a mailing list and waits for suitable listings to appear.

The homeowner also receives valuable feedback. More importantly, agreeing to a private viewing may reveal that they are more open to selling than they originally believed.

If they are willing to tidy the property, allow a buyer through the door and discuss a potential offer, they may already be psychologically closer to moving than they realise. This creates a natural opportunity to discuss whether launching the property properly could attract additional interest and produce a stronger result.

One-off property viewings should always be handled professionally. Before arranging the appointment, make sure the seller signs suitable terms and conditions covering the introduction.

The agreement can clearly state that it applies only to the named buyer or household being introduced. This protects your agency if the seller and buyer later attempt to complete the transaction privately after you brought them together.

Without written terms, proving your involvement and recovering a fee may become unnecessarily difficult. A simple agreement creates clarity for everyone before the viewing takes place.

If the property sells, it should still be treated like a complete estate agency instruction. Prepare full property particulars and collect the information needed by solicitors, surveyors and the other professionals involved in the transaction.

The property should also be included in your marketing records. Even though it may only appear as available briefly before being marked under offer, telling the story of the sale provides valuable proof of your agency’s ability to create opportunities.

A successful off-market sale is excellent marketing material. It shows homeowners that you maintain relationships with serious buyers and can sometimes produce results without relying entirely on a public listing.

It can also help support your performance statistics. A property that is formally listed and quickly marked under offer will contribute positively to your average selling time. That should never be the main reason for arranging a one-off viewing, but it is a useful additional benefit when the sale is genuine and properly documented.

The greatest value of one-off property viewings is that they turn a delayed instruction into an active opportunity.

Instead of accepting that the homeowner may sell at some unknown point in the future, you keep the conversation moving. You continue looking for solutions, create value for buyers and give yourself more opportunities to win instructions.

Estate agents often think growth depends entirely on generating more leads. Sometimes, however, the best opportunities are already sitting inside your existing database.

A homeowner who said they were not ready may simply need the right buyer. A buyer who cannot find the right home may need you to look beyond the open market.

Bring those two people together and you may create a sale that would otherwise never have happened.
